Complaint letters can be an effective medium to resolve a problem. However, it is necessary to write an effective complain letter so that one can get what they want. There are no rules to follow while writing a letter, but certain guidelines are vital to follow to get attention and action, guaranteed.

Firstly, you should consider writing the complaint letter to the senior person in charge. As the proverb says, ‘complaint to one who can help you’, it is important to choose a recipient who will hear the complaints freely, consider them deeply and speedily reform them. Next thing is to clearly explain the situation by giving all the specific details needed. Remember to use a positive and respectful tone with strong attention-getting word and phrases so that the recipient does not feel offended. Moreover, it will be a sympathising tone so that you are portrayed as an innocent victim. However, keep in mind to keep the letter as short as possible without diluting the facts. You need to draft a complaint letter that assures the recipient gets the point. Then, you need to also give a heading for identification.

Furthermore, you can even add some emotion in your complaint letter as it is about something that has happened to you. You should not try to shame them because it might not prove to be in your favour. Once your complaints are done, you can tell them exactly what you want such as an apology, money, refund, etc. You should note that your request must be in the realm of reality so that you easily get what you want. Otherwise, you can also imply that you might take up something new. This might be an effective statement because generally companies don’t like to lose their customers.

In the concluding paragraph, you can ask for an early reply. As and when the complaint letter is read by the recipient, you will receive an acknowledgement letter stating that they are working on your case and will get back to you within a week or two.

While sending the complaint letter, you should avoid e-mailing them because e-mails are typically handled frivolously. So, stick to the formal written complaint letter, if you are looking for a serious attention and action. If you want, you can send copies to other seniors so that your complaint is not ignored.

Most of the corporate houses do not like to see their employees unhappy because it will affect the productivity and eventually the overall growth. So go ahead and write an effective complaint letter for your and the company’s betterment.
